Scope OF WORK:
Reporting on the HR/Admin Officer Bidibidi, the HR Assistant is liable for providing assistance for day-to-day management requirements, functions, along with common workplace management of the IRC Bidibidi Office.
RESPONSIBILITIES:
HUMAN RESOURCE
· Recruitment
Ø Assist often in the human resource tasks just for the national personnel (job advertisements, contracts, interviews, and personnel files) for the IRC Bidibidi.
Ø Maintain a recruitment resource database (CVs).
· Staff members Contracts
Ø draft and Track of Staff Contracts/COS with the assistance of HR/Admin Officer.
Ø Prepare the IRC staff list monthly in liaison with the HR/Admin Officer for Bidibidi/Yumbe.
Ø Ensure a current filing process with all staff personnel info for quick and easy retrieval.
Ø Medical GPA and Insurance Submit and also track medical types because of the newly recruitment staff members at Bidibidi Office Provide help to staff members, follow up and report any problems staff members are experiencing with the healthcare service providers.
· Staff members Leave
Ø Maintain employee ‘s collection for employee leave, employee performance evaluation and staff education tracking sheets.
· Exit Management
Ø Prepare exit evaluation grid, collate results, and also supply copies to relevant managers in liaison with the HR & Admin Officer.
· Reporting
Ø Prepare monthly stories for Bidibidi.
Ø Maintain the leavers plus departure trackers monthly.
Ø In liaison with the HR and Admin Officer Bidibidi/Yumbe, make monthly payroll info for employees and advanced to the nation HR Lead for payroll processing in a prompt fashion.
· Timesheets
Ø Maintain and upgrade the timesheet tracking database for national staff members in Bidibidi/Yumbe and file all timesheets appropriately.
Ø Assistance with the internet system (PROMISE) leave and also Timesheet control for all employees.
· Administration
Ø Attending the office telephone, e mail in a professional way and ensure appropriate distribution of mail/messages.
Ø Ensure mail pouches to various other IRC Offices are dispatched in a prompt fashion.
Ø Prepare invoices and payment request vouchers for every utilities (electricity costs, water bills, newspapers etc) including phone bills.
Ø Under the supervision of Admin and HR officer, make monthly cash projections for the Human Resources/Admin Department.
Ø Support with accommodation booking for visitors, track site visitors to your field site and also create payments.
Ø Maintain employee ‘s collection for employee leave, employee performance evaluation and staff education tracking sheets.
Ø Ensures OADF forms/Templates are replenished and updated.
Ø Help to watch staff movement to/from the field, to trainings, etc. and also deliver weekly updates (Travel calendars) to relevant staffs

minimum Qualifications:
· Faculty studies/ Schooling in Human Resources, Business administration or perhaps some other related program.
· At least two years of experience in similar position.
· Proven skills in administration and human resources management.
· Strong organizational, interpersonal skills.

· Strong written and oral English speaking skills.
